Kick n Gliders Executive Committee Meeting

President Fred Burgess called the meeting to order at 7:05 pm.
Attendees: Fred Burgess, Marilyn Grove, Bill Stine, Nancy Kauhl, David Walbourn and Gary Musser.
Topics Discussed:
Craftsbury I – Nancy stated 9 people have signed up. Her contract has 10 rooms reserved. She is proposing to give up 4 rooms this week and try to get one or two more people to sign up over the next month. The cancellation fee is $20 plus tax every time she cancels a room or $105 if she cancels 5 rooms. We will lose the 20% discount. Five rooms will go up in price over $1000 total. Loss to the club would be $876. If she can get a 10th person, she will get the discount, as they consider a group to be 10 or more. If she cancels the entire trip now, it will cost the club $218.
If she keeps the option open for next year, do we want a different time period (the following week or mid week?) Nancy will try to sign up for a different time frame for next year. Trip participants have been reduced in recent years due to the Christmas holiday and family issues, lack of reliable snow, no more bonfire and New Years celebration.
Nancy will make reservations next year for early January, mid week. She will give up 4 rooms this week and will try to get 1 or 2 more people to sign up. This was approved unanimously by the officers attending.
Policy concerning overbooked trips – Currently if you are only signed up for one trip, you are exempt from the lottery and you are automatically on that trip. We had a lengthy discussion regarding individual cases, members finding loop holes in this policy, “first come first serve” policy of the past, and downsides of eliminating the exemption ruling. Bill moved to eliminate this protected status beginning next year for those only signed up for one trip. David seconded. Everyone is in agreement.
